In this role you will function as a key partner in managing administrative talent acquisition activities and building candidate relationships. In other words - you get to help a very busy and dynamic team do their work in the most efficient way possible. From processing invoices for payments and relocations for associates to producing employment advertising usage and metrics reports, you will have the chance to learn it all.

The ideal candidate will be highly organized, possess strong communication skills, work effectively with internal and external candidates and business groups, have the ability to think on their feet, shift gears at a moment's notice and enjoy the challenges of helping to grow a great organization of talented people for Bluegreen as well as it's related family of companies.

Responsibilities:

This is a fast-paced, hands-on role that requires an energetic, customer focused and approachable demeanor. The successful candidate needs to balance the priorities between pre, post, and on-boarding process along with projects that will contribute to the effectiveness of the Talent Acquisition department.


• Assist with coordinating interviews for open positions
• Set-up travel arrangements on an as needed basis
• Ensure candidates complete the required Applicant paperwork
• Ensure workflows within the ATS (Applicant Tracking System) are monitored, administered and adhered to effectively
• Organize with Hiring Managers the on-boarding process for their New Hires.
• Process all New Hire paperwork in Ultipro starting with the post-hire verification step through the completion of orientation signature step. Deliver manual forms to HR Admin for auditing
• Coordinate New Hire Orientations
• Onboard new hires on non-orientation days
• Coordinate temporary associate onboarding through third-party vendors
• Ownership of weekly requisition report, including updates and activity
• Update and maintain weekly, monthly, and annual reports
• Generates reporting analysis on quarterly/annual basis on hiring metrics, scorecards, trends, etc.
• Initiate Relocation requests and monitor progress
• Identifies and recommends process improvements, streamlines efforts and automates where possible to leverage work flow optimization
• Provide administrative support to the Talent Acquisition team
• Maintain accurate recordkeeping based on compliance requirements
• Close-out Requisitions in Applicant Tracking System
• Secure and file all Requisition, Applicant, and New Employee information
• Prepare internal and external employment advertisements in partnership with vendor partner
• Maintain Corporate recruiting documentation in accordance with Federal and State laws
• Assist Talent Acquisition Director with vendor communication and contract preparation
• Serve as back up to the Talent Acquisition Partners as needed
• Gather monthly employment related articles for social media distribution
• Provide ATS training for Talent Acquisition field partners
• Subject matter expert for ATS, recruiting tools and resources
• Process vendor request forms with accounting to establish Coupa and Concur accounts
• Special projects as assigned by Talent Acquisition VP
• Provide initial point of contact and facilitate follow up for associate referrals; track referrals in database.
• Process and/or distribute all external job posting invoices via Coupa
• Manage HR Careers email inbox
• Distribute all resumes/applications submitted via internal Ultipro postings to field TA team

Job Requirements

Bachelors degree (preferred in Human Resources, Business Administration) or equivalent work experience.
A minimum of 3 years of administrative experience required. Experience working in a Human Resources support function a big plus.

• Highly proactive, self-motivated and be able to take the initiative.
• Strong problem-solving ability; solid analytical and critical thinking skills.
• Must be detail and deadline-oriented and be able to work independently while maintaining a high level of confidentiality.
• Must be extremely organized and able to interact with personnel and potential candidates as well as vendors at all levels. Must have a sense of awareness to the candidates’ experience.
• Must have some previous analytical experience (preparing & analyzing data), team player and good communicator.
• Previous vendor relationship management experience a big plus.
• Ability to maintain a high level of integrity and confidentiality.
• Excellent oral and written communication skills; able to communicate directly, clearly, and concisely.
• Good interpersonal skills and a positive attitude; able to work effectively with all levels and from various disciplines.
• Flexible & able to adapt quickly in a fast-paced, ever-changing environment.
Technical proficiency with software applications: Microsoft (Outlook, Word, Excel, PowerPoint). Human Resources software experience a big plus. Internet Explorer and company’s intranet system, corporate policies and procedures.
