Job Description


The Billing Specialist is responsible for reconciling inventory for billings while coordinating with each association in preparation for budgets, annual billings and penalty schedules. They will be accountable for management of the approvals from each association, along with coordination with the mail house to send statements to owners. Additionally, the Billing Specialist will complete day-to-day administration and processing of upgraded and reloaded contracts for owners that purchase additional vacation points.  While processing contracts, the Billing Specialist is responsible for continuity of owner information,  accurate maintenance fee billing and vacation points allocation.                                                                                     Responsibilities: 

•Reconcile inventory from the AS400 Maintenance Fee system for billing purposes. •Process month-end and month-beginning processes, which include running reports, queries and assessing finance charges. •Prepare unit analyses and entry into TM1 for budgets & annual billings. •Provide owner list as requested for Board meetings and proxy mailers. •Responsible for the annual maintenance fee billing and penalty schedules according to each association and Vacation Club’s Assessment Billing and Collection Policy. •Management of the Proof and Mail tracking to ensure deadlines are met and data is tracked properly. •Complete system uploads including payment and account F8 comments •Responsible for processing Upgrades and Reloads (Pro-rated billing); Transfers of Ownership and Conversions •Research & Resolve owner issues, via Salesforce as assigned •Resolve billing escalations through the database and coordination with various departments to resolve complex issues. •Identify and report reoccurring issues and/or trends. •Performs additional tasks as assigned

•Associates’ Degree or two-year technical certificate preferred. •2+ years billing and administrative experience •In-depth knowledge of MSOffice Suite, specifically in Excel.  Experience with AS400 a plus •Extraordinary attention to detail with strong analytical and problem solving skills. •Excellent interpersonal communication skills to work effectively with all levels of the organization. •Ability to lead by example and take active ownership and accountability with projects and apply received knowledge. •Ability to multi-task high priority projects with competing deadlines.
