Job Description

The Business Operations Director is responsible for the leadership and oversight of site level sales and marketing administrative functions.  Ensures adherence to company defined policy and procedures. Partners with the Director of Sales and Director of Marketing to support the goals and initiatives as set forth by the company. Drives efficiencies and processes that result in exceptional standards of quality production and service. Fosters a positive, professional environment that supports the targeted goals and initiatives of the company.

  • Leads and directs a team in onsite sales and marketing administration to include contract processing, quality assurance, customer service, payroll and all related paperwork processing, accounting, premium management, data integrity, and reporting.
  • Mentors, motivates, trains and coaches administrative associates in delivering exceptional customer service and driving high quality standards of accuracy and efficiency.
  • Makes final hiring, disciplinary, termination decisions upon administrative managers' recommendation.
  • Develops associates to build bench strength for growth opportunities.
  • Supports sales and marketing initiatives as defined by business goals.
  • Works closely with Director of Sales and Director of Marketing in efforts to achieve maximum operating profits.
  • Coordinates with Legal/IT to ensure required document/system testing as required.
  • Liaisons to corporate sales accounting to ensure 100% bookable contracts, owner services for escalated owner issues, and other corporate departments as necessary to resolve site level issues.
  • Participates in regular weekly meetings with Director of Sales, Marketing and other management as required.
  • Conduct regular meetings with administrative team to communicate new initiatives, address challenges, and generally support team recognition and individual excellence.
  • Performs closings as necessary in backup situations.
  • Enforces and ensures Customer Information Security at site level.
  • Ensures compliance with all applicable federal, state and local employment laws with regard to hiring, terminations, Employment law postings, business licenses, and real estate licenses.
  • Participates in director level meetings including weekly conference calls and other offsite meetings/conferences as required.

Minimum Requirements

  • High School or equivalent; Bachelor's degree preferred
  • 5 to 7 years of progressive experience in office management with proficiency in systems and understanding of human resources, payroll, accounts payable. 
  • Proven leadership skills.
  • Customer service techniques and quality fundamentals.
  • MS Office Suite and Synergy, SPI, LSAMS, AS400, Concierge, company’s intranet system and corporate policies and procedures.
  • Detailed-oriented with strong analytical and problem solving skills, strong ability to think strategically and analyze information timely and accurately, strong interpersonal communication skills to deal effectively with all levels of the organization
