Job Description

Purpose:

This position reports to the Manager of Title Services, Transfer & Acquisition. As the Supervisor, you are responsible to assist the Manager in the day-to-day operations and management of the department. This position requires supervision of associate level direct reports. As Supervisor, you will work with associates and leaders at all levels to accomplish task.

The Supervisor will be responsible for all operational activities to ensure the most efficient practices are in place to meet the goals of the department. This position will be responsible for overseeing the implementation of new initiatives, vetting of training materials, write up of policies and procedures related to new initiatives, changes and enhancements.

The functions related to these accountabilities require the creation and/or review and sign-off of various legal conveyance documents related to the transfer of ownership, performance of due diligence within various systems and records to determine and or confirm the ownership, recovery of inventory, and clearing impediments. This position is also responsible for the data entry and/or maintenance of various systems and must also develop, review and/or manage certain reports. 

Responsibilities:

• Oversee the accurate and timely processing of closing ownership transfers.
• Manage the administrative tasks including but not limited to monitoring documents, determining a streamlined tracking process, management of escrow funds related to the transfer.
• Manage the process of updating ownership records in multiple systems.
• As directed, assist or manage certain administrative projects or functions which may have a legal nature or concern which may include tasks that require a high degree of internal and external confidentiality.
• Work to become a subject matter expert as it relates to the closing system used to process the transfers and the system used to manage the ownership record.
• Work with team to meet processing goals and deadlines as set forth by management which may change from time to time as business needs require.
• Identify, communicate and/or resolve as needed title issues related to the ownership change.
• Communicate on a regular basis any potential areas of improvement to management that may make processing more efficient.
• Special projects as designated by management.
• Assist with questions, answers, deadlines and review and or correct work as necessary.
• Oversee the daily operations of the department.
• Directly supervise, manage and lead associates as led by your Manager which requires all aspects of management, including but not limited to training, development, coaching and counseling and performance reviews.
• Other duties as assigned.

Job Requirements

Bachelor's degree or equivalent combination of education and experience
1 to 2 years supervisor experience experience of at least 5 or more employees within same or similar business unit responsible for administrative functions.
Traditional real estate title and/or timeshare title closing experience required. Title license in any state preferred but not required.

Basic skills related to: strategic business planning, employee management and motivation, productivity and performance management, expense and revenue budgeting, labor law, quality management and customer service.

Intermediate to Advanced Skills related to: Microsoft Office Suite products, including Outlook, Excel, Power Point, and Access. Knowledge of title document processing software preferred
Detail oriented with strong analytical and problem solving skills, strong ability to think strategically and analyze information timely and accurately. Strong interpersonal communication skills to deal effectively with all levels of the organization
