Job Description


The Administrative Manager is responsible to oversee the sales administrative processes from point of sale including contract processing, quality assurance closings and follow through to successful booking of the sale. Manages and develops sales administrative team to fully support sales efforts while ensuring adherence to established policies, procedures, and company standards. Drives processes that result in exceptional standards of quality production and service.

Responsible for day to day management of the Quality Assurance Specialist team (QAS) and Credit Specialists (as applicable) to include:

• Recruit, screen and work in conjunction with DFA as final approval in hiring process of QAS and Credit Specialists.
• Train, coach, and provide input to DFA in progressive discipline and termination processes.
• Responsible to handle escrow and Sampler accounts ensuring deposits and refunds are handled per standard procedure.
• Ensure policies and procedures are followed and a policy waiver is utilized as the exception.
• Ensure preliminary backup is provided as required for contract types (i.e. equity quote information, credit scores)
• Ensure contract packages are correct and complete prior to sending to corporate to consistently meet goal of 100% bookable sales.
• Ensure QAS closing rotation is strictly followed.
• Monitor closings and provide ongoing training to QAS team as new programs are implemented.
• Perform closings as necessary in backup situations.
• Monitor and perform follow up calls as necessary to consistently exceed minimum standards.
• Complete reports as required such as cash report, follow up report, etc. that have been authorized by Sr. management.
• Ensure Customer Information Security policies are enforced, monitored and adhered to.
• Ensure systems access is removed timely for terminated associates.
• Review and confirm month end sales.
• Prepare monthly volume bonus for sales associates.
• Ensure cancellation paperwork is handled timely and funds verified prior to issuing credits.
• Prepare schedules to ensure adequate coverage without overtime. Monitor ratio of staffing verses projected sales.
• Ensure opening/closing checklists are followed.
• Foster a positive, professional support environment that aids sales in reaching targeted goals.
• Track and ensure timely response to corporate inquiries regarding escalated owner issues, document issues or other communication as necessary.
• Maintain current and adequate supply of collateral materials.
• Participate in meetings as required.
• Assist Legal/IT with document/system field testing as required.
• Other projects/tasks as assigned by DFA.

Job Requirements

• MUST be willing to relocate within Bluegreen to be considered.
• College strongly preferred. High School Diploma or equivalent required.
• 1 year management experience preferred. Previous experience in Bluegreen sales or marketing environment beneficial.
• Customer service techniques and quality fundamentals. MS Office, Outlook, Word, Excel, Synergy, Internet Explorer, SPI, LSAMS, AS400, company’s intranet system and corporate policies and procedures.
• Detailed-oriented with strong analytical and problem solving skills, strong ability to think strategically and analyze information timely and accurately, strong interpersonal communication and customer service skills to deal effectively with owners, guests and all levels of the organization
