Job Description

The purpose of Executive Assistant is to provide assistance in all administrative aspects of the Resort Operations for the Regional VP / VP Bluegreen Ventures.

Specific Duties, Activities and Responsibilties :

  • Responsible for all administrative aspects of the Regional VP / VP Bluegreen Ventures, including the accountability of preparing financial reports and handling confidential information
  • Telephone answering, messaging, booking appointments, screening for vendors and other basic administrative duties.
  • Communicate with Bass Pro / Big Cedar Lodge management team to assist the Regional VP / VP Bluegreen Ventures with JV resort HOA operations and JV sales and marketing business.
  • Provide owner and marketing guest customer service follow up communication and resolution.  
  • Assist Regional VP / VP Bluegreen Ventures and Regional Guest Experience Manager with special owner, marketing, and VIP guest reservations and event planning.                       
  • Responsible for taking, transcribing and distribution of weekly, monthly and bi-weekly meeting minutes and handling the necessary duties to the successful operation of the resort and support for the Regional VP / VP Bluegreen Ventures and the Regional Guest Experience Manager.
  • Prepare accurate spreadsheets when requested, organize daily/weekly reports, construction documents, Resort Board meeting agendas and minutes, and JV committee board packets in binders and files after Regional VP / VP Bluegreen Ventures reviews and signs off on.
  • Organize meeting planners according to demand, as needed. 
  • Attend Board meetings and operational meetings as requested by Regional VP / VP Bluegreen Ventures.
  • Assist Resort Managers, sales and marketing management in the region when needed and in other areas of the resort as needed.
  • Other duties may be assigned.

Job Requirements

  • High School Diploma or equivalent
  • Minimum of 4 years in an administrative assistant role or at least 4 years’ experience in a leadership role within hospitality
  • Computer proficient
  • Microsoft Excel, Word, OneNote, and Outlook experience
  • Multi-tasking & organizational skills. 
  • Be a self-starter and be able to work independently
  • Have strong and professional communication and interpersonal skills and have professional telephone etiquette.
  • Ability to adapt to a fast pace environment.
  • Ability to handle stress
