Job Description

The purpose of the Association Governance Specialist is to ensure the fulfillment of managing and administering compliance services as outlined in the management contracts between Bluegreen Resorts Management and each Association. An Association Governance Specialist must cultivate and build healthy, productive relationships with each association’s board of directors, the resort managers and key personnel, as well as all corporate management partners. Working as a liaison between the management company, board of directors and owners within multiple associations the Association Governance Specialist is involved in all aspects of managing corporate standards, legal compliance and administrative affairs of each association.

Specific Duties, Activities and Responsibilities:

  • Ensures compliance with governing documents and state and local statutes in the operations of timeshare and condominium regimes
  • aintains the database established to house all governing regime documents, contracts, agreements and licenses for each client association. 
  • Ensures accurate, timely and consistent communication with board and association members of all reporting requirements as required by law and developed by resort operations; maintaining the Bluegreen brand image.
  • Responsible for the production, distribution, receipt and tallying of all proxies and ballots for client associations, as well as coordinating, attending, and facilitating meetings of all client associations.
  • Composes email correspondence with resort contacts and corporate partners. 
  • Prepares and distributes to membership and the board all association meeting notices, board books, new board member orientation, quarterly board reports, and quarterly newsletters. 
  • Coordinates, attends, and facilitates registration and ensures minutes are captured at all association meetings.
  • Consults with resort leaders and staff to ensure accurate database of all association information; board contact information, association contracts and tracking, licenses, permits, meeting dates and timelines. 
  • Tracks and reports on a quarterly basis compliance with documents, statutes and Bluegreen directives.
  • Assists resort operations with the budget process to include compliance with then current governing documents.
  • Prepares consents and resolutions for board approval, verifies approved reserve funding and assists with the project management agreement approval and process. 
  • Directly interacts with individual owners and board members through frequent correspondence, phone contact, and in person at association meetings.
  • Provides consultative support to our resort managers in the management of Bluegreen Resorts client association boards and providing association governance services for client associations.
  • Manages assignments that are complex in nature where independent action and a high degree of initiative are required. 
  • Coordinates with corporate and site personnel, the timely resolution of all business issues relating to the association boards and ensure all such issues are followed up on in a timely manner.
  • Participates in the ongoing development, coordination, training and coaching of all board and association governance programs for resort leaders and client board members.

Job Requirements

  • High school diploma or GED Equivalent
  • Minimum of 3 years’ administrative experience required.  Previous paralegal or association management experience preferred.
  • Knowledge of vacation ownership, board relations, and association management required. Paralegal or CAM license preferred. 
  • Must be a self-starter and can work independently. 
  • Detailed oriented with strong analytical and problem-solving skills, strong ability to think strategically and analyze information timely and accurately. 
  • Must be able to interact with a wide range of people with effective rapport building and relationship skills. 
  • Compelling verbal, written, and presentation skills.
  • Must be PC proficient with fluency in Microsoft Office applications. 
  • Must be able to meet deadlines and work for multiple managers under minimal supervision.
  • Strong planning and organizational skills.
  • Must have follow-through process on short and long-term programs. 
  • Multi-tasking skills are required. 
  • Flexibility to deal with ever-changing situations with ability to work under pressure with changing directives.
