Job Description


The Legal Administrative Assistant, Consumer Matters is responsible for providing administrative and clerical support services to Bluegreen’s Consumer Matters/Litigation team. The position requires organizational skills, attention to detail, ability to multi-task, and excellent verbal and written communication skills.

• Provides clerical and administrative support for high volume, time-sensitive workflow of all attorney letters, regulatory agency inquiries, and consumer correspondence, including but not limited to scanning, research of consumer accounts, documenting into departmental and corporate databases, and distribution of coding directive to internal corporate departments/external sources.
• Opens and maintains organized files and records. Closes out completed files.
• Conducts basic fact-finding research using multiple databases and computer programs.
• Distributes, tracks, and processes settlement agreements.
• Creates and maintains departmental databases and spreadsheets to facilitate a variety of reports and projects.
• Answers, screens, takes messages, and directs incoming calls to the appropriate attorney, paralegal, and consumer matter specialists.
• Works closely with, and interacts with, all Corporate Departments and Sales Sites regarding the research and resolution of consumer related matters.
• Assists with preparing and sending acknowledgement letters and informational requests to attorneys and regulatory agencies.
• Handles sensitive information in a confidential manner.
• Performs any and all other administrative duties assigned by Litigation/Employment attorneys, paralegals, and consumer matter specialists as needed.

Job Requirements

• High School Diploma or equivalent; an associate’s degree or some college education preferred.
• 2 or more years of experience performing general administrative and clerical support activities in a law firm or corporate setting.
• Clerical and administrative support activities such as preparation, assembly and processing of documentation, record keeping, etc. Computer proficiency in MS Office 365 Suite. Knowledge of Salesforce, a plus. Ability to learn, understand and apply Corporate policies and procedures.
• Good level of organizational skills as well as the ability to multi-task. Moderate to strong data entry and keyboarding skills. Detail-oriented with ability to think strategically and analyze information timely and accurately. Strong interpersonal communication skills to deal effectively with all levels of the organization.
