Job Description

Purpose:

The Guest Receptionist will be responsible for making sure that all guests are greeted in a friendly, timely manner insuring that all guests are qualified for their tour per the qualifications set by Bluegreen per Market Source. Under general supervision, the Receptionist is responsible for greeting visitors, customers, and guests in the reception area and/or over the phone, answering, screening and directing incoming calls.

Responsibilities:

•Oversee the marketing guest being assigned to a sales rep and turned over to the sales team.
•Ensure that all information is updted in Concierge from the guest registration completed by guest.
•Assist the sales managers insuring timely delivery of the tour detail report.
•Make confirmation calls and giving directions to the scheduled guest for their tour.
•Research and contact all late arrivals to ensure they are scheduled and show up for their required tour.
•Answers all incoming calls and researching and solving customer issues.
•Meet and greet tours and process-required identification needed for tour
•Generate and review daily tour reconciliation reports ensuring all tours are assigned a PT, SAS & TOM
•Contact Preferred Partner Hotels to verify guest arrivals and inform guest of scheduled tour times.
•Respond by mail, email or fax to all customer complaints and log accordingly in system.
•Assist in AS400/Concierge in booking reservations for guest being relocated to the resort to overcome objections sales are faced with from guest and their concerns staying at a preferred partner hotel.
•Scan all guest issue reports and communicate all report issues to Resort Management.
•May perform other duties as assigned.


Job Requirements

Requirements:

•High School Diploma or equivalent.
•3 to 6 months prior experience providing general clerical support.
•Clerical administrative support, standard office equipment, screening calls, switchboard operations, quality services fundamentals, MS Office Outlook, Word, Excel, and Power Point, internet explorer, Company’s intranet system, corporate policies and procedures.
