Job Description

Purpose:

The Title Specialist II is responsible for the regular processing, closing and administration of closings for timeshare sales or the recovery of inventory or assets. The functions performed by a Title Specialist II include but are not limited to administrative tasks such as preparation of various documents related to real property conveyances; performance of due diligence using various proprietary systems and public records to determine and/or confirm ownership of the underlying real estate; and, at times, may require performance of curative actions to clear title defects. This position is also responsible for data entry into and/or maintenance of various reporting tools. Title Specialists may be required to communicate with internal and external costumers to provide certain services.

The Title Specialist II will be assigned to one of two divisions within Resort Title Agency Inc: either Transfer & Acquisition, working with associations, consumers and business customers for the recovery of inventory or the transfer to third parties; or to Title Services working primarily with timeshare closings.

Responsibilities:

  • Efficiently and accurately process closings of timeshare sales or asset/inventory recovery transactions as assigned. Processing includes: review of purchase contracts and other sales documents, review of the title history of timeshare inventory to ensure clear title is assigned to the respective transaction, review of loan status reports, preparation of closing documents including title policies, and delivery and receipt of recording documents.
  • Accurately and efficiently perform post-closing administrative tasks including but not limited to monitoring documents returned from recording, updating recording information, delivery of trailing documents to customers, file retention and/or other tasks as required.
  • Resolve inventory problems and fulfill data processing requests which may require cross-departmental communication and/or communication with internal and/or external costumers.
  • Follow up with vendors to ensure timely completion of assigned tasks.
  • Perform title searches, due diligence and prepare releases, commitments and other documents related to acquisitions, sales or other transactions which require timeshare inventory as security.
  • Maintain a high degree of confidentiality, both internally and externally.
  • Prepare administrative documents and perform administrative functions related to real estate closings such as: title searches; prepare, review and/or update estoppels; receive payments from customers; prepare affidavits, releases, deeds, mortgages from approved templates; prepare settlement statements; or any other functions necessary to close a purchase or transfer of timeshare interest.
  • Work within the information systems used by Resort Title Agency, Inc., Bluegreen Vacations Corporation or its clients as well as external information systems including web based databases.
  • Meet or exceed processing goals and deadlines as set by Management which may change from time to time as business needs require..
  • Identify, communicate and/or resolve title issues related to timeshare inventory.
  • Perform administrative functions, such as data entry, accounts payable, scanning, filing, copying, and others, as needed.
  • All functions require substantial data entry to various operating systems and Title Specialists must manage multiple systems and accurate data entry.
  • Communicate any areas in need of improvement to Management.

Requirements:

  • 2 years’ prior work experience in a professional office setting, familiarity in working with contracts, loan real estate and title, or financial services experience is preferred.
  • Title Agent license in any state preferred but not required.
  • Computer literate with a strong knowledge of MS Office suite. Prior experience with any real estate settlement software, TSW, and use of various information management systems helpful but not required.
  • Must be accurate and detail oriented.
  • Demonstrated strong communication (written and verbal) and organizational skills;
  • Customer service oriented, with the ability to multi-task.
  • Willing to learn new skills and develop personally and professionally.
  • Independent self-starter with creative solutions
