Job Description


The purpose of Executive Assistant is to provide assistance in all administrative aspects of the Resort Operations for the General Manager, Regional Manager of Hotel Operations and the Assistant Resort Manager.


Responsible for all administrative aspects of the General Manager and Assistant Resort Manager including the accountability of preparing financial reports and handling confidential information
• Other duties incluide telephone answering, messaging, booking appointments, screening for vendors and other basic administrative duties.
• Responsible fot taking, transcribing and distribution of weekly, monthly and bi-weekly meeting minutes and handling the necessary duties to the successful operation of the resort and support for the General Manager.
• Prepare accurate spreadsheets when requested, organize daily/weekly reports in binders and files after G.M. and/or A.R.M. reviews and signs off on.
• Organize meeting planners according to demand, as needed. Attend all property walks and follow up on emails and deadlines for the ARM and GM.
• Attend Board meetings as requested by ARM or GM.
• Assist in other areas of the resort as needed.
• Other duties may be assigned.


Job Requirements

• High School Diploma or Equivalent
• Administrative Assistant experience of at least 4 years in the hospitality/time share industry not required but preferred
• Multi-tasking & organizational skills. Be a self-starter and be able to work independently. Have strong and professional communication and interpersonal skills and have professional Telephone etiquette.
• Ability to adapt to a fast pace environment.
• Computer proficient, excellent communication skills, have Microsoft Excel, Word and Outlook experience. Ability to handle stress
