Bluegreen Vacations, located in Boca Raton, FL is looking for a HR Shared Services Specialist.
This position is a hybrid opportunity.
Purpose:
The HR Specialist, Tier I, is an internal customer service focused member of the Associate Resource Center (ARC). This role is responsible for handling mid-level inquiries and employment matters related to a broad range of HR related topics (including but not limited to HR and company policy, talent acquisition, talent development, benefits, employment screening, covid19 compliance management and payroll). They will work independently under general direction to problem-solve, decision-make, and issue recommendations for action on routine situations by interpreting guidelines, procedures, policies and precedent. This position will also require the management of various HR administrative related functions, including, but not limited to employment screening, verification of employment inquires, personnel file maintenance and recall, unemployment claim research and responses, and other administrative request pertaining to associates.
Responsibilities

• Respond to customer inquiries by telephone, email, chat and in-person to resolve customer inquiries at first point of contact. This position will be assigned a daily phone shift of 2-4 hours to intake associate inquiries and assign them to the correct HR professional.

• Maintains and audits accurate data entered various HR software systems (for example, Salesforce, Dayforce, Ultipro, Synergy, HireRight, etc.).

• Utilize case management tracking tool to accurately record and manage customer requests.

• Oversee verification of employment inquiries outside the Work Number. Respond to requests timely and accurately.

• Process rehire requests and associated appeals process.

• Assist with various administrative requests as needed, including, but not limited to, crafting letters, separation agreements, personnel file requests from Legal, Risk Management or other internal departments, special projects relating to office openings, closings, acquisitions, and layoffs.

• Serve as the internal liaison for vendors related to unemployment, verifications of employment and employment screening.

• Process transactions by collecting required information or back-up documentation from the customer Reference department policies and procedures to ensure accuracy of responses and to provide all available information to customers.

• Responsible for intercepting and completing unemployment requests with service provider in a timely manner.

• Responsible for personnel file maintenance.

• Maintains a working knowledge of general HR rules and regulations, state law compliance and Bluegreen policy and procedures.

• Applying judgement of when to escalate requests and queries that are more complex to HR Generalists or department manager related to payroll, benefits, employment screening, talent acquisition, and talent development.

• Facilitate training to all levels of associates as needed, such as train site managers or HRIS (Dayforce) system modules, E-Verify/I-9

• Promote use of customer self-service through coaching and training.

• Understands applicable state and position specific documents required outside current Dayforce workflows.

• Maintains a working knowledge of broad HR matters related to benefits, payroll administration, leave administration, compensation, employment screening, talent development and talent acquisition that occur during the employment life cycle.

• Evaluate and makes recommendation for updates to policies and SOP’s, as needed and directed by senior management.

• Responsible for productivity report requests as it relates to HR activity.

• Responsible for the coordination of pre-employment criminal background checks, motor vehicle checks, drug testing and other screening programs, as identified, for the field and corporate offices.

• Responsible for the preparation and communication of FCRA (Fair Credit Reporting Act) letters and related documentation to applicants. Works in partnership with field HR contacts, upper management, legal, and payroll as necessary to ensure all stakeholders are timely informed of applicant status.

• Work directly with the applicants/associates who show unfavorable information on their criminal background check, motor vehicle or drug test, to obtain information necessary to make an informed hiring decisions.

• Responsible for the set up and deactivation of field users in the HireRight database.

• Facilitate tracking and logging of employment screening activity to evaluate volume, state law compliance and consistency with employment screening decisions.

• Remain up to date on relevant laws; Coordinate state law review in any new states in which we operate regarding pre-employment screening compliance and ensure changes to the law in current states are applied to our programs.

• Maintain metric reporting on employment screening activity on monthly and quarterly basis. Conduct analysis of screening results and provide statistical analysis to Sr. Management.

• Process post-employment background checks according to internal guidelines to ensure company policy and legal compliance.

• Assists with departmental invoicing as needed for vendors including but not limited to, HireRight and Equifax.

• Assist with all other duties as assigned by manager.


Requirements:

1 – High School diploma or Associates Degree in related field preferred.

2 – Two years of directly related human resources experience. Call center or shared service center experience preferred.

3 – Knowledge of human resources information systems (HRIS). Knowledge of basic database maintenance concepts. Strong auditing and data entry skills. Computer and/or HR Skills to include: Dayforce, proficiency in MS Office Suite.

4 – Highly organized. Strong communications skills with an emphasis on tact and diplomacy; this includes the ability to speak and write clearly to deliver customer service excellence over the phone and through e-mail. Effective at gathering and synthesizing information from multiple parties. Critical thinking as well as being skilled in problem solving and the ability to demonstrate attention to detail. Ability to prioritize, multi-task, meet deadlines, and remain flexible and change pace with workflow demands. Ability to maintain strict confidentiality and employee privacy. Demonstrates a willingness to learn, implement new processes and work independently.
