Job Description

Purpose:

Coordinates administrative functions to the assigned Design and Development teams including Project Management, Design and FF&E Management. Coordinates project support including project reporting, commitment management, accounting, and project file management

Responsibilities:

  • Provides daily support and assistance to project teams on assigned projects including Project Management, Design and FF&E Management
  • Communicates between company departments including Accounting, Legal, and Resort Operations facilitating processing of all project related documents and processes.
  • Creates and processes all contracts and change orders for assigned projects.
  • Processes all assigned project related invoices and pay applications verifying compliance to Bluegreen policies and procedures.
  • Assists the project team in preparing and distributing required reporting.
  • Provides travel and meeting coordination – including preparing and distributing meeting minutes.
  • Contributes to process improvement, documentation, and quality of practices within Design and Development.
  • Coordinates project activities, provides administrative and logistical support including meeting arrangement, progress tracking, and documentation for the FF&E Group (Purchase Requests, Expediting of FF&E, etc.)
  • Other duties as assigned.

Requirements:

  • Associates Degree or equivalent work experience
  • Minimum 4 years in related field
  • Office Management processes, travel coordination, process improvement Intermediate to advanced competence with Microsoft Office Suite Intermediate to advanced competence with project management software
  • Knowledge of project management processes, project accounting processes, contract processes, budgeting/scheduling processes
  • Strong interpersonal and critical thinking
  • Ability to work independently on tasks/projects assigned Detail Oriented
  • Excellent Communication Skills
  • Timeshare/Vacation Ownership construction knowledge preferred. Ability to learn and master new software quickly
